   Essendon Country Club - Competition Withdrawal Policy

  • Essendon Country Club has a significant number of golfing competitions within its yearly calendar. For each competition there are always a number of members withdrawing their entries after having signed up to play and the withdrawal may happen right up to the day of the competition itself. This causes not only disruption to other playing members within the competition but also a considerable amount of extra work for the competition administrator who is often performing this role as a volunteer.


   Purpose of this policy:

  • This policy outlines what is expected from both members and the club in the event of an individual having to withdraw from a competition after having signed up to play.


   Scope of this policy:

  • This policy applies to all Major (Board) competitions and all single day competitions such as individual medal and stableford competitions. It does not apply to ongoing or best of series competitions.


  • Action that is expected of a member depending on the stage of competition withdrawal:


   1) Withdrawal from competition after sign-up, but before competition sign- up closes.

  • Member may do this online and there is no explanation required and entry fee will be returned.

   2) Withdrawal from competition after sign-up, but before issue of start sheet.

  • Member cannot do this online and must contact the competition administrator asking to be withdrawn. This must be done by email or via the IG messaging service. A message to the club reception is not sufficient.
  • The member’s entry fee will be refunded.

   3) Withdrawal from competition after start sheet is published to members.

  • Member cannot do this online and must contact the competition administrator asking to be withdrawn. This must be done by email or via the IG messaging service. A message to the club reception is not sufficient.
  • Due to the extra administrative work caused as well as inconvenience to fellow members, the entry fee will be retained in the prize pool.
  • An email will be sent from the competition administrator to the member informing them of this fact.

    4) No shows on the day of the competition, contact made with the administrator.

  • Member cannot do this through the booking system and must contact the competition administrator, prior to their tee time, by email or via the IG messaging service asking to be withdrawn. A message to club reception is not sufficient.
  • Due to the extra administrative work caused as well as inconvenience to fellow members, the entry fee will be retained in the prize pool.
  • An email will be sent from the competition administrator to the member informing them of this fact.

   5) No shows on the day of the competition, no contact made with the administrator.

  • This is totally unacceptable and unfair on fellow players. Due to the extra administrative work caused as well as inconvenience to fellow members, the entry fee will be retained in the prize pool.
  • An email will be sent from the competition administrator to the member informing them of this fact.
  • The individual member will be banned from entering any single day competitions for the next 14 days and will be banned from entering the next club Major.
